Vendors

Overview

The Vendors module in the Centric System manages businesses or individuals who supply goods or services to your organization. Each vendor has a profile that documents associated bills, purchase history, and financial transactions, ensuring smooth supplier relationship management.


How to Access

To access the Vendors section:

  1. Log in to the Centric System dashboard.
  2. From the left sidebar, click on Purchases.
  3. Select Vendors from the dropdown menu.
  4. The Vendors List View will appear, displaying all vendors with categorized statuses such as Overdue, Open, or Draft.

1. Vendors List View

The Vendors List page provides a comprehensive view of all vendors:

  • Vendor Name – Official name of the vendor or company.
  • Email – Vendor’s official email address.
  • Phone – Contact number.
  • Tax Number – Vendor’s official tax registration number.
  • Currency – Default transaction currency.
  • Status – Active/Inactive status of the vendor.

2. Adding a New Vendor

You can add a vendor using two methods:

a) Manual Entry

  1. Click New Vendor at the top-right corner.

  2. Fill in the required fields:

    • Name – Vendor’s official or company name.
    • Email – Vendor’s email address.
    • Phone – Primary contact number.
    • Website – Vendor’s website (optional).
    • Reference – Internal reference or code.
    • Picture – Vendor logo or image.
    • Tax Number – Official tax registration number.
    • Currency – Default currency for vendor transactions.
    • Address – Vendor’s physical or legal address.

b) Import via Excel

  1. Click More > Import.
  2. Upload an Excel file (.XLS/.XLSX) in the standard format.
  3. Review the mapped fields and confirm import.

3. Vendor Actions

On the Vendors List, you can perform the following actions:

  • Edit – Modify vendor details.
  • Enable/Disable – Change vendor visibility in the system.
  • Export – Download vendor data in PDF or Excel.
  • Delete – Permanently remove a vendor (admin only).
  • View Profile – Open the vendor profile to see all related bills and transactions.
  • Duplicate – Create a similar vendor record quickly.

4. Vendor Profile

Each vendor has a profile that consolidates:

  • Basic details (name, contact, tax number, currency).
  • Associated bills and purchase history.
  • Transaction records for improved financial tracking.
