Inventory Settings

The Inventory Settings module in the Centric System defines how stock, warehouses, and product-related parameters are managed. By configuring these settings, businesses can maintain accurate stock control, manage product movements, and streamline reporting.


Purpose

Inventory Settings allow organizations to:

  • Configure warehouses and tracking mechanisms.
  • Manage product identification using barcodes.
  • Define inventory selling strategies.
  • Control stock transfers and spoilage tracking.
  • Standardize units of measurement.
  • Organize products by brand.

Subsections of Inventory Settings

1. Warehouse

The Warehouse settings define the storage and tracking rules for products.

  • Default Warehouse: Sets the primary warehouse for stock transactions.
  • Days Before Expiration Notification: Determines how many days in advance users are notified of product expiry.
  • Track Inventory: Enables real-time tracking of stock quantities.
  • Negative Stock: Allows or restricts recording of sales when stock is insufficient.
  • Reorder Level Notification: Sends alerts when stock reaches the minimum threshold.
  • Reorder Quantity Recommendation: Suggests optimal reorder quantities based on stock history.

Benefit: Ensures efficient stock management, avoids stockouts, and improves product freshness monitoring.


2. Barcode

Barcode settings simplify product identification and streamline checkout and stock tracking.

  • Barcode Type: Selects the format of the barcode (e.g., TYPE_CODE_39).
  • Barcode View: Defines how barcodes are printed (Single, Double, or Triple).
  • Print Barcode with Name/Price: Option to include product name or price on printed barcodes.

Benefit: Enhances speed and accuracy in sales, purchasing, and inventory processes.


3. Inventory Selling Strategy

This section defines how products are prioritized for sale based on stock attributes.

  • Inventory Strategy: Criteria for prioritization (e.g., Production Date, Expiry Date).
  • Inventory Strategy Type: Determines sorting order (e.g., Ascended, Descended).

Benefit: Ensures compliance with stock rotation policies such as FIFO (First-In-First-Out) or FEFO (First-Expired-First-Out).


4. Transfer Order

Transfer Orders manage the movement of stock between warehouses or locations.

  • Name Prefix: Prefix added to transfer order codes.
  • Number of Digits: Defines the length of transfer order numbering.
  • Next Number: The sequential number assigned to the next transfer order.

Benefit: Provides structured tracking of internal stock movements across locations.


5. Spoilage

Spoilage settings track damaged or unusable inventory.

  • Number Prefix: Prefix for spoilage adjustment records.
  • Number of Digits: Determines the sequence format.
  • Next Number: The identifier for the next spoilage record.
  • Reasons: Allows categorization of spoilage (e.g., Fire, Damaged, Lost). A new reason can also be added as required.

Benefit: Improves accountability and enables reporting on product losses.


6. Unit

Units define the measurement standards for stock items.

  • Unit Name: Example: Piece, Box, Ton.
  • Default: Marks a unit as the standard for transactions.
  • Add New Unit: Users can add new measurement units as required.

Benefit: Ensures consistency in stock transactions and reporting across all modules.


7. Brands

Brands organize products under specific labels for tracking and reporting.

  • Brand Name: The name of the brand.
  • Brand Code: A unique identifier for the brand.
  • Add New Brand: Users can add new brands into the system as shown in the settings.

Benefit: Simplifies product categorization and improves brand-specific analysis of sales and stock.


This detailed configuration of Inventory Settings ensures organizations can manage stock efficiently, prevent losses, and maintain accurate reporting across all inventory operations.
